What it does. A set amount pins one item in a package to a flat count, so it stays at the number you type however many guests come. Everything else in the package keeps scaling with the package count, which on a package sold per person is one per guest.
When you’d use it. One cake for a 150-guest wedding. Three drink dispensers on a per-person beverage package. Two of something no matter the headcount.
Before you start. The package has to be on the event already. On the event’s Menu tab, under Packages, click Add First Package if the event has none yet, or Add Package below the table if it already has one. Then pick the package from your catalog and click Add Package.
How to set it
- Open the event and go to the Menu tab. Your package and its items are listed under Packages.
- Click the edit (pencil) icon on the item’s row.
- Under Quantity calculation, choose Set amount.
- In Total quantity, type the flat count, like 1 for one cake.
- Click Update Item.
What you’ll see. The item’s row shows your flat count with “set amount” under it. The items that still scale show their total with the ratio under it, like “1 ea per package”. The package price doesn’t move, because the money sits on the package row and the item rows carry no price of their own. The flat count carries to your kitchen report, BEO, packing list, and shopping list, and on the BEO it keeps its own line under the package.
Good to know.
- The kitchen report and packing list give each dish one line. If the same dish is in the package and also added to the event on its own, that line is the two counts added together, with both sources named under the dish. The BEO keeps them apart, under Packages and under Menu Items.
- Leave Total quantity empty while you’re waiting on the client’s final numbers. The item saves with no count, and nothing prints as a zero: the kitchen report and packing list add “Count not set” with the package’s name under the dish, and the BEO leaves the quantity blank on the package’s line.
- Switching the item back to Per package brings back the quantity per package it had before, and the row goes back to scaling.
- To use a set amount on every event instead of one at a time, set it on the package in your catalog: open Catalog, then Packages, open the package, edit the item, choose Set amount, and fill in Amount. That box keeps the per-package number that was already there, so type over it. Every event you add that package to arrives with the flat count already in place.
