Catering for events: How to nail it

April 20, 2020

Catering for events can be a tricky business, as there are many factors to consider in order to ensure that your guests are happy and well-fed. Here are some tips for nailing your next event catering gig:

  1. Understand the event: Before you start planning the menu and shopping for ingredients, take the time to understand the event and the guests who will be attending. Consider the theme, the location, the time of day, and any dietary restrictions that your guests may have.
  2. Plan the menu: Once you have a good understanding of the event and the guests, start planning the menu. Make sure to choose a variety of dishes that will appeal to all of your guests, and be mindful of any dietary restrictions. You should also take into account the time of day and location of the event when planning the menu. For example, if the event is taking place in the afternoon, you may want to offer lighter fare, while an evening event might call for heartier dishes.
  3. Shop for ingredients: Once you have a menu planned, it’s time to shop for ingredients. Make sure to buy fresh, high-quality ingredients, as this will make a big difference in the taste of your dishes. Try to shop as close to the event as possible to ensure that your ingredients are as fresh as possible.
  4. Prep and reheat: Before the event, do as much prep work as you can. This will make the actual event much more manageable. Just make sure to reheat the food in the correct way so it stays fresh and safe to eat.
  5. Presentation is key: When it comes to catering, presentation is just as important as taste. Make sure to plate your dishes in an attractive way, and consider using garnishes to add a pop of color and visual interest.
  6. Think about logistics: Make sure that you have everything you need to serve the food, such as serving platters, utensils, and chafing dishes. Also consider where you’ll be setting up, and make sure you have a plan for keeping the food warm if the event is taking place in a location that is not easily accessible to a kitchen.
  7. Be professional: Being professional is key to nailing any event. Be on time, be responsive to any requests and have a great attitude .
  8. Be prepared for contingencies: Even with the best planning, unexpected things can happen. Make sure you have a plan B in case something goes wrong, such as having extra food on hand in case more guests show up than expected, or having a backup heating source in case the electricity goes out.
  9. Communicate with the host: Communication is key when it comes to event catering. Make sure you are in touch with the host throughout the planning process, and be responsive to any requests or changes they may have. Keep them informed of any issues that may arise, and work together to find solutions.
  10. Build a reputation: Repeat business and word-of-mouth recommendations are important for building a successful event catering business. Make sure you are providing excellent service, and go above and beyond to ensure that your guests are happy. Consider asking for feedback and reviews, and use them to improve your service.
  11. Be aware of budget: Catering can be expensive and it is important to have a clear budget and pricing strategy. Offer different package options with different levels of service or food options, or have an a la carte menu to give your clients more flexibility.
  12. Prioritize Safety: With the current situation of pandemic it is important to have strict safety measures in place to ensure the health and safety of your guests and staff. This includes regular sanitation, use of PPE and proper food handling, and storage guidelines as per your local health department guidelines.
  13. Be Flexible: Events come in all shapes and sizes, and it is important to be flexible and able to adapt to the different needs of your clients. Be willing to work with your clients to create a customized menu that fits their tastes and budget.
  14. Staffing: Proper staffing is critical for the success of an event. Make sure you have enough staff to handle the number of guests, and that they are well-trained and able to handle the demands of the event. This includes servers, bartenders, and kitchen staff, as well as additional personnel such as event managers, coordinators, and cleaning crew.

Event catering is a challenging, but rewarding field that requires careful planning and attention to detail. By following these tips, you’ll be well prepared to cater any events, whether it’s a small intimate dinner party or a large corporate event. It will take some effort and planning but with the right approach you can make a great impression on your clients, and build a reputation as a top-notch caterer.
